Job summary
The purpose of the role is to provide administrative support to the FLOW Coaching Academy (FCA) Programme and other Quality Improvement initiatives and to take responsibility for smaller projects and activities as directed.
Main responsibilities
The role will involve a range of general administrative, project management and support tasks including:
- Assisting the FLOW faculty on all aspects of the operational functioning of the FLOW Programme, working as a core member of the Quality Improvement (QI) team to provide an effective training facility for improvement capability building.
- Assisting in the recruitment of each cohort of FLOW coaches working across partner organisations.
- To be responsible for all arrangements to support the smooth running of FLOW events and sessions such as meeting with relevant team members, booking venues, liaising with catering, confirming car parking arrangements, notifying appropriate personnel of people attending the courses, planning and setting up the course site and support areas etc, post event evaluation and communication.
- Attend meetings and FLOW events as required, registering delegates, liaising with venue staff and stakeholders, taking formal minutes/ notes and ensure the smooth running of the event.
- Effecting communication with internal and external stakeholders regarding FLOW updates, interventions, sessions and events.
- Responsibility for recording all finance costs for the programme, developing invoices for external organisations and ordering catering, training materials etc.
- Assisting in the recruitment of FLOW teams for the coaches to work with.
- Regularly updating the FCA website including details of events and training sessions, adding case studies and other web pages.
- Administrating the suite of courses and sessions organised by the FLOW and other QI programmes.
- Assisting the FLOW Programme faculty in organising and promoting courses and sessions.
