Contract and hours: Temporary / Part Time  / 25 hours per week

Job summary

The principle duties of the post is to ensure the smooth running of the appliance service. It will involve frequent contact with patients, including those who need surgical appliances. The post holder will report to the relevant Manager. The role will be based between South West Acute Hospital and Omagh Hospital.

Main responsibilities

  • Arrange clinic appointments with booking team for those patients to be fitted with appliances and arranging transport, if necessary.
  • Attending Orthotic Clinics to support the Orthotist.
  • Creating and maintaining relevant record keeping process.
  • Ensuring availability of records for clinic attendance including preparation of files.
  • Follow up on clinic attendances as a result of Orthotist instructions.
  • Issuing proof of attendance to patients eligible for travelling expenses.
  • Issuing orders to suppliers for prostheses, wigs and all appliances as fitted by the Orthotist.
  • Checking and approving invoices for payment in respect of appliances received.
  • Dealing with telephone calls from patients, nursing and medical staff regarding appliances.
  • Collecting and presenting statistics for appliance activity.
  • Other duties, appropriate to the grade, allocated from time to time to ensure the smooth running of the Department would be an integral function of the post.
  • Operating computer systems as necessary to fulfil the role.
  • Dealing with incoming mail and processing of outgoing mail.
  • Packing of goods to send to suppliers.
  • Provide high level administration and clerical services to the department, Orthotist and other professionals and work as integral part of the team.
  • He/she will be expected to work under pressure without direct supervision.
  • Receipting of goods and updating computer systems.
  • He/she will use the Patient Administration System and other IT systems relevant to the role and full training will be given.
